Access Scripps Admin files on Google Drive

Scripps Admin files are now on Google Shared Drive.  Google Drive File Stream will allow you to use native Microsoft Excel and Word documents (you don’t need to use Google Sheets/Docs), and you will open and work with files in a manner similar to the old server.  

Google Drive does NOT require CISCO VPN.

MAC OS Windows Web

 

 

Mac Instructions

Before you begin, If you haven't done so already,  please enroll your computer into the Scripps IT Company Portal. This is a prerequisite for the following steps.  Click here for instructions to enroll.  IMPORTANT: Wait a couple hours after enrolling (during normal business hours) before you first open the Google Drive File Stream app

 

1. Open Google Drive File Stream, click the magnifier icon in the upper right corner near the clock; type in "Google Drive File Stream";  Double click the Google Drive File Stream icon to open.

2. Sign in with your UCSD email address

3. On first sign in, you will see the Welcome window, click the right arrow until the last screen, then open Google Drive.

4. The Finder window will open, under Locations on the left, click the Google Drive icon; on the right, open Shared drives; then find the ScrippsAdmin folders you have access to.  (each user's access will be different, you view of the Finder will not look the same as shown in this image)GDFS-Mac-Finder.png

FAQ

How do I bookmark a folder?

In the Finder window, take the folder you want to bookmark, drag it to the left under Favorites.  

How do I make files editable when I am offline?  

Prior to going offline, right click or control click on the files, in the Google Drive File Stream menu, select Make available offline. The offline files will take up space on your computer, be mindful of disk usage.  

 

Windows 10 Instructions

1. Click the Start Menu icon to open Drive File Stream app*

2. Sign in with UCSD email address

3. On first sign in, you will see the Welcome window, close the window.

4. Open File Explorer, click Google Drive File Stream on the left; then Shared Drives on the right; Then find all the Scripps Admin folders that you have access to.

FAQ 

How do I bookmark a folder?

Right click on the folder, choose "Pin to Quick Access", then the pinned folder will show up in the Quick Access section of the Explorer window.  

How do I make files editable when I am offline?

Web Instructions

You are now able to access the Scripps Admin files on the web from any computer with internet connection. If you are accessing the Google Drive from a personal computer, please comply with university privacy and security policies when accessing and downloading files in the Scripps Admin folders. 

 

1. Visit Google Drive from a web browser.

2. If prompted, login with your UCSD email.

3.  Select the share you need to access.
